The cancellation policy is effective for all trips/vacations crafted by Hodophile Travels Private Limited (‘Hodophile Travels’ from now on) from January 12, 2024. Hodophile Travels’ customers eligible for refunds will receive the refund amount within 45 working days from the date of cancellation or when the supplier(s) processes the refund, whichever is later. Please note that in the specific cases where the refund from the supplier is not received, Hodophile Travels will not be refunding the amount. For refunds related to on-trip cancellations, customers will receive the refund amount within 90 working days from the date of their return or when the supplier(s) processes the refund, whichever is later. The Refund amount depicted is subject to change based on international exchange rates, refunds received from suppliers and payments received from customers till date. Any change in refund amount will be communicated to customers by their respective account owners.
Hodophile Travels will not in a position to offer refunds in the cases where the desired services could not be provided because of machinery breakdowns, any health/or other emergencies with the supporting staff/service provider, political tensions, government rules/notices, and any external factors.
For flights designated as “Non-Refundable” on the final travel documents, customers will not be eligible for any refunds.
For flights labeled as “Refundable” on the final travel documents or in our emails/communications, customers will receive a refund according to the guidelines outlined in the “Cancellation Policy” section of the product, as well as detailed in the final itinerary sent via email/WhatsApp/or any other mode of communication.
Refund amounts for flights may be subject to fluctuations due to international exchange rates.
Hodophile Travels is not liable for grounded, cancelled, or delayed flights. Any requests for cancellations of such flights must be directed to the respective airlines. The processing of refunds will be subject to the procedures of the respective airline carrier.
Customers are responsible for ensuring their passports have a minimum validity of 1 year and are in good condition. Hodophile Travels will not refund customers who are denied boarding due to invalid passports (expired validity, damaged passports).
Hodophile Travels will also not be responsible for the instances where customers are deboarded from the aircraft for certain reasons including their misbehaviour with fellow passengers, crew, for the lack of documentation to board the plane etc.
Customers are expected to arrive at the airport at least 2 hours prior to their boarding time for domestic flights and at least 2 hours prior to their boarding time for international flights or as advised during the period they are travelling. Hodophile Travels will not refund customers (for cases where airport transfers are not arranged by us) who miss their flights due to delayed arrival at the airport.
For cases where airport transfers are arranged by Hodophile Travels, flight cancellations due to delayed transfers resulting from unforeseen circumstances specific to a region will not be covered by Hodophile Travels.
Information regarding baggage limitations (cabin and check-in) will be provided as part of the final travel documents. Additional costs incurred due to exceeding baggage limits must be paid by the customer at the time of check-in.
Certain flight carriers have mandatory web check-in policies. Failure to comply may result in additional costs payable at the airport. Hodophile Travels is not responsible for refunding customers in such situations.
Hodophile Travels can arrange meal preferences with airline carriers upon request. However, Hodophile Travels has no control over the availability and quality of meals served on flights, as this is entirely controlled by the airline carrier.
For hotels designated as “Non-Refundable” on the final travel documents/emails, customers will not be eligible for any refunds upon cancellation.
For hotels labeled as “Refundable” on the final travel documents/emails, refunds and their timelines will adhere to the cancellation guidelines outlined in the final travel documents/emails.
Refund amounts for hotels may be subject to fluctuations due to international exchange rates.
While Hodophile Travels endeavors to secure top-quality hotels with exceptional amenities, we cannot be held accountable for factors such as hotel staff behavior, cleanliness, and the overall quality of accommodation. Any additional costs incurred due to on-trip room upgrades and additional amenities will be the responsibility of the customer. Changing hotels during the trip (cancellation of hotels as per the itinerary and booking new hotels) will incur a 100% cancellation fee.
The accommodation of early check-in or late check-out requests is subject to the discretion of the hotel. Hodophile Travels cannot process cancellation requests due to the non-availability of these requests. Confirmed early check-ins and late check-outs are subject to availability and paid for; the same can be requested by the Hodophile Travels.
In all the bookings labeled as non-refundable, customers will not be eligible for any refunds upon cancellation or non-usage. Hodophile Travels cannot be held responsible for staff behaviour, vehicle or any other machine breakdowns, last minute cancellations by the suppliers. We will try our best to arrange for alternate options but are bound to react to the market and external conditions which impact our ability to provide those services.
Hodophile Travels facilitates the processing of visa applications for its customers. We offer guidance on visa formalities and documentation specific to various destinations. However, it is important to note that the decision to grant or reject a visa solely rests with the concerned embassy. Hodophile Travels bears no responsibility for visa rejections. The visa fee is non-refundable in the event of a rejected application.
While we strive to ensure a smooth visa application process for our customers, Hodophile Travels cannot be held liable for any unforeseen changes to visa formalities imposed by the embassy during the document submission and processing phase.
Once insurance is applied and issued, it is subject to a 100% cancellation fee and is non-refundable.
